Online File Converters: Safe Options for PDFs, Images, Audio and Video

Before you upload a contract or family video to a random converter site, check whether your computer can already do the job offline. Often it can.

For quick, non-sensitive conversions, a reputable online converter is fine. But for anything private, such as contracts, tax forms, IDs or personal photos, use the tools already built into your computer, which convert files without uploading them anywhere. Windows and Mac can both handle common PDF, image and video conversions offline.

Here’s how to tell a trustworthy converter from a risky one, and how to do the most common conversions with free built-in tools.

The privacy problem with online converters

When you use a web converter, your file is usually uploaded to the company’s servers, processed there and sent back. That raises a few questions:

  • Who can access it? Staff, contractors or anyone who breaches the service.
  • How long is it kept? Reputable services delete files after a short period, often within hours. Others don’t say.
  • What else do they collect? Some free sites are heavy on ads and tracking, and a few push extra downloads or browser extensions.

A safe rule: if you wouldn’t email the file to a stranger, don’t upload it to a converter you haven’t vetted. The same applies to AI tools; see how to use AI to summarize documents safely.

How to spot a trustworthy online converter

Check Good sign Warning sign
Privacy policy Says how long files are kept and when they’re deleted No policy, or vague language about using your content
Connection HTTPS (padlock in the address bar) Plain HTTP
Downloads Converted file downloads directly Asks you to install an app, extension or ‘downloader’
Ads Few or none Fake ‘Download’ buttons and pop-ups
Processing Some tools process in your browser without uploading No information on where processing happens
Company Identifiable business with contact details Anonymous site

Converters from well-known software companies, such as the online tools from PDF and office-suite makers, generally publish clear retention policies. Read them before uploading. Some newer tools run the conversion entirely in your browser, so the file never leaves your device; if a site claims this, its privacy policy should say so explicitly.

What never to upload

  • Government IDs, passports and Social Security documents
  • Tax returns, bank statements and medical records
  • Signed contracts or anything under a confidentiality agreement
  • Work files, unless your employer has approved the service
  • Private photos and videos of family, especially children

For these, use the offline methods below.

Built-in conversions on Windows 11

Save any document as a PDF

  1. Open the document, web page or image.
  2. Press Ctrl + P to print.
  3. Choose Microsoft Print to PDF as the printer.
  4. Click Print and choose where to save the PDF.

In Word, you can also use File > Save As and choose PDF as the file type. Recent versions of Word can open a PDF and convert it to an editable document, although complex layouts may shift.

Convert images (HEIC, PNG, JPG)

  1. Open the image in the Photos app or Paint.
  2. In Paint, choose File > Save as and pick JPEG, PNG or another format.

To open iPhone HEIC photos, Windows may ask you to install the free HEIF Image Extensions from the Microsoft Store.

Audio and video

The built-in Clipchamp editor can export videos to MP4 at different resolutions. For audio-only conversions, the free, open-source VLC media player from its official site can convert between common formats via Media > Convert / Save.

Built-in conversions on Mac

Images and PDFs with Preview

  1. Open the file in Preview.
  2. Choose File > Export.
  3. Pick a format from the Format menu: JPEG, PNG, HEIC, TIFF or PDF. For JPEG and HEIC you can set quality to reduce file size.

To make a PDF from almost anything, choose File > Print and click PDF > Save as PDF. Apple explains Preview’s export options on its Preview user guide.

Batch-convert images in Finder

Select one or more images in Finder, Control-click and choose Quick Actions > Convert Image. You can choose the format (JPEG, PNG, HEIF) and size.

Video and audio

  • Finder: select a video, Control-click and choose Encode Selected Video Files to make a smaller H.264 or HEVC copy, or an audio-only file.
  • QuickTime Player: File > Export As lets you save at different resolutions or as audio only.
  • Music app: can convert audio files you own to AAC or MP3 via its import settings.

On your phone

On iPhone, the Files app can create a PDF from selected images (long-press and choose Create PDF), and you can set photos to save as JPEG instead of HEIC in Settings > Camera > Formats by choosing Most Compatible. On Android, the print menu in most apps includes Save as PDF.

A note on copyrighted media

Converting files you own (your own videos, documents or legitimately purchased DRM-free music) is fine. Avoid sites that offer to download and convert streaming videos or music; ripping copyrighted content without permission breaks most platforms’ terms and copyright law, and those sites are frequent sources of malware and scam ads.

Bottom line

Online converters are convenient for harmless files, but pick one with a clear deletion policy, HTTPS and no forced downloads. For anything personal or confidential, skip the upload: Print to PDF, Paint and Photos on Windows, and Preview, Finder Quick Actions and QuickTime on Mac handle most everyday conversions offline and free.

FAQ

Are online PDF converters safe?

Reputable ones that delete files promptly are generally fine for non-sensitive documents. For private or legal documents, convert offline instead.

How do I convert HEIC to JPG without uploading?

On Mac, use Finder’s Quick Actions > Convert Image or Preview’s Export. On Windows, open the image in Photos or Paint (with HEIF Image Extensions installed) and save it as JPEG.

Can online converters give my computer a virus?

The conversion itself rarely does, but shady sites use fake download buttons and ask you to install software that can be malware. Only download the converted file itself.

Why does my converted PDF look different?

Converting between PDF and editable formats can shift fonts and layouts. Check the result, and keep the original file.
